AI sales roleplay software, AI coaching tools and AI roleplay for corporate training all share one trait: a session is personal data twice over. The audio carries the trainee’s voice, and the transcript records how well they handled a difficult conversation at work. When a European company shops for a roleplay tool, the first filter is therefore not the scenario library. It is where that voice and that transcript are processed.

What EU data residency means for an AI roleplay training platform

If the format itself is new to you, start with what AI roleplay training is. Residency is often reduced to “the database is in Frankfurt”. For a voice roleplay that is only the last step. A single practice session passes through speech recognition, a language model that plays the counterpart, a text-to-speech model and a scoring model. Each can run in a different region. A useful vendor answer names the region of every step.

Five further points matter for a European buyer:

  • A data processing agreement available to every customer, not only to enterprise contracts.
  • A written statement that customer data is not used to train the vendor’s models.
  • Export and deletion of sessions by the trainee inside the product.
  • A readable sub-processor list.
  • The vendor’s own certifications, separate from those of its cloud provider.

Trainees practice sales calls, objection handling, customer service and difficult conversations out loud with an AI persona that plays the other side: a customer, a patient, a colleague. After the session they get a score and written feedback from the AI sales coach, with live hints during the call in coach mode. Managers upload their own documents and the platform turns them into scenarios. A live video avatar is available as an add-on: a video persona that talks and listens in real time during the session, generated on Google Cloud in the EU.

Published facts: voice conversations, transcripts, session analysis and document processing run in Google Cloud’s EU locations. The database runs in Frankfurt and files are stored in the EU. Session data is used to improve the AI only when the user opts in, anonymized. Voice recordings are never used. A data processing agreement on the European Commission’s standard clauses is available to every customer, with a sub-processor list. Trainees and managers export and delete their data in the product. Server logs are kept 7 to 30 days with no audio and no transcript.

The hosting and AI providers are ISO 27001 certified and publish SOC 2 reports. Languages: practice in 58, interface in 7. Trainings launch from an LMS through SCORM and xAPI packages, with results reported over xAPI.

Described as compliant with the GDPR and the EU AI Act. AES-256 encryption at rest, TLS 1.3 in transit. 14 languages.

Published facts: hosting in Germany, GDPR requirements met, conversation content not used to train models. Transcripts are visible by default only to the person who practiced; the employer does not see which conversations an employee rehearses.

3spin Learning (Germany)

3spin Learning is based in Darmstadt and belongs to the TÜV NORD group. Its soft skill trainings run on desktop, tablet and VR headsets.

Attensi (Norway)

Attensi is a game-based training company whose RealTalk product runs AI roleplays with virtual humans.

Published facts: GDPR compliance, with the Norwegian Data Inspectorate named as complaints authority. The product page publishes no hosting region and no sub-processor list, so both must be requested.

US AI roleplay platforms with an EU data residency option

Several US and Israeli roleplay platforms now offer an EU residency option. Second Nature, for one, states in its own comparison article that it has published such an option. These setups can be sound. The difference from the vendors above is that residency is a configuration to request and verify, not the default architecture. Ask for the region of every model in the pipeline, not only the database.

How to evaluate an AI roleplay platform for EU data residency in one hour

  1. Read the vendor’s trust page and note each processing location it names.
  2. Open the pricing page; if it has no numbers, note the date you asked for them.
  3. Email for the data processing agreement and the sub-processor list; time the reply.
  4. Run one session in your own language, for example one of these sales role play scenarios, and read the transcript for quality.
  5. Delete a session as a trainee, check it disappears from the manager view, and list what the dashboard shows per person before talking to the works council.

FAQ: AI roleplay training and EU data residency

Is a US platform with EU servers enough for GDPR?

It can be, if the processing agreement, the transfer mechanism for any data leaving the EU and the vendor’s daily practice hold up. EU servers reduce transfer questions. They do not remove them when staff outside the EU can reach the data.

Does the EU AI Act cover AI roleplay training?

Tools that evaluate employees can fall under its rules on emotion recognition and on systems used in employment decisions. Scoring a practice session is not high risk by itself. Feeding those scores into hiring and promotion decisions changes the picture. Ask each vendor how it classifies its product.

Do we need a works council agreement?

In Germany and several other EU countries, software that can monitor employee performance usually requires co-determination. What managers can see per person decides the scope. Private-by-default transcripts make the conversation shorter.
