How to Build a Great Training Program

The quality of a training program depends on what you feed the AI. This guide shows what to prepare before the first session and which settings shape the experience your trainees practice in.

01

Start with clear goals

Everything the AI generates is aligned with the goals you define. Clear goals produce focused personas and useful feedback.

Training objective

The overall aim of the training, in free text. What should this training accomplish in general?

Training goals

The specific things trainees must learn. Keep them few and sharp: up to five per project. If you need more, split them into a separate project. Fewer goals mean clearer feedback and more focused sessions.

Training language

The language your trainees will practice in. Voice sessions and feedback follow it.

02

Gather the right material

Replio extracts knowledge from your documents and builds the whole training program on top of it. Complete material makes realistic practice.

Work brief

An extended brief of the work trainees have to perform, with advice on how and whom to approach.

Product knowledge

What you offer and why it wins, including the unique selling points against the competition.

Do's and don'ts

General rules of conduct: what trainees should always do and what they must never say or do.

Objections and answers

The negative reactions trainees will face in the field and the counter-arguments that actually work.

Locations

Where trainees will operate, with the conditions of each spot. Example: a live music venue, late hours, loud environment.

People they will meet

The typical people trainees will approach at each location, with their habits and attitude. These descriptions become realistic AI personas.

03

Format documents so the AI reads them well

Replio reads structure, not just words. A few habits make a measurable difference in extraction quality.

20 MB

per file

100 pages

per PDF, 20 to 50 is the sweet spot

4 documents

per project by default

1

Use supported formats

PDF, DOCX, PPTX, XLSX, TXT and images (JPG, PNG) all work. Plain text is understood best; charts and product photos are extracted too.

2

Structure with headings

The AI understands headings and bold text. Place headings at the top of the page and keep them descriptive.

3

Name files clearly

A file title should say what is inside. The same goes for the headings within it.

4

One fact, one place

Each piece of information should live in a single place. Duplicated facts drift apart and create contradictions.

5

Write plainly

Use a simple explanatory style that leaves no room for misinterpretation.

6

Cut what does not belong

Remove content irrelevant to the training itself, such as hiring paperwork or supervisor procedures. Material for the AI can differ from what you hand to trainees.

04

Configure the trainee experience

A handful of project settings shape how trainees practice. All of them can be changed at any time.

Persona visibility

Show trainees who they are about to talk to, or hide the details to simulate real life, where you never know who walks in.

Goal selection

Let trainees pick their training goal before a session, or skip the choice and let each persona keep its own goal.

Standalone quizzes

Let trainees test their knowledge with quizzes anytime, outside voice sessions.

Expert chat

Voice Q&A with an AI expert that has absorbed all your documents: trainees ask any question and master the material before training. It uses training minutes and is never scored.

Coach mode

Practice mode offers realistic conversations with feedback at the end. Coach mode adds real-time guidance during the session.

Difficulty mix

Personas come in Easy, Medium and Hard. Match the mix to your audience: newcomers warm up on easier personas, experienced trainees go straight to hard ones.

05

Test before you launch

Before inviting trainees, verify that the AI has truly understood your material.

  1. 1

Write down the typical questions a trainee would ask, together with the answers you expect.

  2. 2

Ask those questions in the expert chat and compare the answers with your material.

  3. 3

Where something is off, improve the source document and update the knowledge. Then test again.
