Google Drive: training that follows your documents
Connect a Drive account, pick the exact files, and Replio keeps the Knowledge Library in sync with them. Nothing else in the Drive is ever read. SharePoint and OneDrive come next.
Who this is for
For teams whose price lists, procedures and product sheets live in Google Drive and change every month. Today someone re-uploads the PDF and hopes every project got the new one. With the connector, an admin picks the files once; when a file changes, Replio ingests the new version and every project linked to it is rebuilt. Managers keep working in Drive, trainees always practice on the current material.
Google Drive is live for every organization. The connection uses Google's per-file permission: the picker grants Replio access to the files you pick and to nothing else, so no Google security review stands between you and the first sync. SharePoint and OneDrive use the same picked-files model and are in preparation; ask us for early access.
Ways to connect
Pick files, not folders
An owner or admin connects a Google account and opens Google's own file picker inside Replio. Docs, Sheets, Slides, PDFs, Office files, images and text files are listed; folders are navigable but never synced as a whole. The list is confirmed before anything is sent.
One Knowledge Library folder per connection
Picked files land in a library folder named after the connected account. Link that folder to projects in auto-sync, or leave it as organization knowledge: it behaves like any other folder, including per-project review and conflict handling.
Changes become versions
Replio checks each picked file about once an hour. A changed file is downloaded again after fifteen quiet minutes, becomes a new version of the same library document, and is promoted once its extraction and search index are ready. Projects in auto-sync rebuild; pinned projects show a newer-version notice and keep what they had.
Setup, step by step
Connect Google Drive
Dashboard, Knowledge Library, Document sources: tick the authorization confirmation, name the connection and click Connect Google Drive. Approve the picked-files scope in Google. The consent screen asks for file access only.
Pick the files
Click Pick files. Google's picker opens on the connected account; select up to 25 files at a time, 50 per connection. Replio shows the exact list and refuses folders, shortcuts and unsupported types before you confirm.
Watch the first sync
Each row goes from Waiting to In sync within seconds, then shows the library status: processing, ready, or failed with the reason. Google Docs and Slides are exported to PDF, Sheets to Excel, so they parse like uploads.
Link the folder to projects
In the Knowledge Library, link the new folder to the projects that should follow it and choose auto-sync. From then on a changed file updates those projects without anyone re-uploading.
Pause, remove, disconnect
Sync now re-checks a file at once. Pause stops following a file; Remove forgets it. Disconnect revokes the Google grant and pauses every file. None of these deletes a library document: what was ingested stays until you delete it in the library.
Where results land
What Replio reads, what it keeps, and where it shows.
- Source files
- Only the files picked in the Google picker, re-read with the connection's own grant. Metadata checked hourly; content downloaded only when the revision or checksum changed.
- Library documents
- One document per picked file in the connection's folder, with its version history. Each version carries the Drive revision it came from; the current version is the one trainings use.
- Status
- Per file on the Document sources page: in sync, waiting, failed, deleted at the source, access lost, paused, plus the library processing state. The audit log records every connection, pick and ingestion.
Good to know
- Files only: a Drive folder cannot be synced as a whole. Pick the files inside it.
- The plan caps of the Knowledge Library apply: documents per folder and per organization, pages per document, 20 MB per file. A file beyond a cap shows as failed with the library's message.
- Google Docs, Slides and Drawings are exported to PDF and Sheets to Excel; Google's export limit is 10 MB per document.
- Changes are detected on an hourly check, not instantly. A file edited continuously is ingested once the edits stop for fifteen minutes.
- The connection runs as the Google account that connected it. If that person loses access to a file, the row shows access lost and the library keeps the last version.

Questions managers ask
Can Replio see my whole Drive?
No. The connection uses Google's picked-files scope: Google itself limits Replio to the files chosen in the picker. There is no scope to browse, search or list your Drive, and the page never lists anything you did not pick.
What happens when a file changes?
Replio notices on the next hourly check, waits until the file has been quiet for fifteen minutes, downloads it once, and creates a new version of the library document. Projects in auto-sync are rebuilt; pinned projects keep their version and show that a newer one exists.
What if a file is deleted or unshared in Drive?
The row shows deleted at the source or access lost. The library document and every project built from it stay untouched; nothing is deleted on Replio's side because of a change in Drive.
Is SharePoint supported?
In preparation, with the same model: an admin picks the files in Microsoft's picker and only those are read. Tell us if your team wants early access. The SharePoint guide on this site covers how trainees reach Replio from an intranet, which already works.
How is the Google token stored?
Encrypted at rest with a dedicated key, in the EU. Disconnecting revokes it at Google and wipes it. You confirm at connection time that your organization is authorized to let Replio read the files you pick.
Connect your Drive in five minutes
Open Document sources in the Knowledge Library, connect a Google account and pick the files your next training should follow.
