Create a project from your own content

Build a complete training program with Smart Import, from the first upload to activated AI personas.

Prepare your training material

Log in to your manager dashboard and open Knowledge in the Library section. Create a project folder so every document related to this training program is stored in one place.

Upload the file you want to use for this specific program. You can edit the folder or file information whenever you need to.

Start a new project

Back on the Dashboard, select New Project. Replio offers preset training templates, but this walkthrough uses Smart Import to create the program directly from your own materials.

Enter the project name and description, then choose the language, the training objective, the trainee type and the training domain. Some fields are selected automatically based on your content.

Let Replio analyze your content

Select the folder you created in the Knowledge Library and pick the file you want to use. The system starts analyzing the information to prepare it for the training program.

Analysis takes around five to ten minutes depending on the size of your file. Keep your training material under 100 pages, which is the supported limit.

Set goals and review the AI personas

Write the training goals yourself or use the recommended ones. Replio then prepares your training sessions with AI personas built on those objectives.

Review each persona's characteristics. You can edit them, add more or regenerate them. Personas are organized by difficulty level: some are easier to engage and willing to participate, while others are more skeptical, reserved or emotionally complex.

Communication styles vary as well. Some personas communicate directly, while others are harder to read and require stronger communication, empathy and psychology-based techniques to build trust.

Skills and the readiness quiz

Define the skill sets the trainee should acquire through this training, or keep the recommended skill sets generated by the system.

Before each new session, the trainee answers a short five-question quiz. This helps the system understand their current skill level and the areas where they need the most practice.

Choose your manager features

Hide Persona Details keeps the persona's role, difficulty level and description invisible to the trainee.

Hide Goal Selection locks trainees to the default goals configured for the persona, and Hide Live Feedback turns off real-time AI coach suggestions during the session.

You can also activate Standalone Quiz mode so trainees practice with quizzes only, and AI Expert Chat so they can explore the uploaded content and ask questions about it.

Invite your trainees

Once everything is set up, the AI personas are ready for training and you can start inviting trainees to join the program.

Add knowledge

Put reusable source material in the Knowledge Library before creating projects.

This gives Replio a reliable base for scenarios, personas, quizzes, and answers.

  • Review any source that needs attention before using it in a project.

Add a client profile

Add client-specific context only when the training depends on a client, market, or audience.

This keeps general product knowledge separate from client rules, tone, vocabulary, and constraints.

What to do

  • Create a profile for the client or audience.
  • Add the rules, tone, and vocabulary trainees must follow.
  • Use the profile only on projects that need that context.

Check before continuing

  • The profile is active.
  • The context changes how the training should behave.
  • Generic product knowledge is not duplicated here.

Create the project

Create the training project after the source material is ready.

The project defines the goal, audience, setup path, and available practice tools.

What to do

  • Use Smart Import when documents should drive the first draft.
  • Pick a template when the training matches a standard workflow.
  • Use Custom Training when the brief is unique.
  • Or ask Cliff Assistant to create the project from chat.

Link the right knowledge

Attach only the folders, files, and client profile this project needs.

Narrow source selection keeps the training grounded and avoids irrelevant context.

  • Attach the client profile in the project details if needed.
  • Keep linked sources focused on the project goal.

Check before continuing

  • The linked folder matches the project.
  • Linked sources show as fresh.
  • A test question returns the expected answer.

Review before launch

Review the generated training before trainees can access it.

This is where you catch unclear goals, weak personas, missing topics, or wrong practice settings.

What to do

  • Review the objective and project summary.
  • Check personas, scenarios, and difficulty.
  • Open Features to set quizzes, Expert Tutor, live feedback, and persona visibility.

Check before continuing

  • The training matches the real use case.
  • Personas feel realistic for the audience.
  • Nothing sensitive or irrelevant is included.

Invite trainees

Invite people only after the project has been reviewed.

Trainees should land in a prepared training space, not an unfinished draft.

What to do

  • Add trainees manually, from a list, or from Contacts.
  • Use groups when the same cohort will be reused.
  • Restrict personas per trainee if not everyone trains on everything.

Check before continuing

  • Emails and names are correct.
  • Enough seats are available.
  • The right project is assigned.
